1. Registration and admission
By submitting this registration, the registering party enters into an obligation to take part in the exhibition. With this registration, the exhibitor recognises, on his own behalf and on behalf of the parties acting in his name, the exhibition conditions as binding. Registration forms containing conditions, deletions, supplements and amendments are null and void. Admission will take the form of written confirmation constituting a contract between exhibitor and organiser. Once given, confirmation can be revoked if the preconditions for confirmation are not or are no longer fulfilled. The organiser has the right to reject applications without stating reasons.
2. Stand allocation
The exhibition stands are allocated by the organiser. The date of receipt of the registration is of no relevance. The organiser will take the wishes of exhibitors with regard to allocation of specific stands into consideration to the extent that this is possible, but specific stand locations cannot be made a condition of registration. The organiser may move stands and advertising panels to other locations for organisational reasons or to achieve the desired overall appearance of the exhibition.
3. More than one tenant, sub-letting, use of the stand by third parties
The exhibitor is not entitled to let third parties use part or all of the allocated stand, to swap or sublet the allocated stand, or to accept the allocated stand on behalf of other companies without the written consent of the organiser. The acceptance of a co-exhibitor requires a special application submitted to the organiser in writing. The admission of a co-exhibitor is subject to a surcharge. In the event that a co-exhibitor is admitted without proper approval, the organiser may terminate the contract with the exhibitor without notice and arrange for the stand to be vacated at the expense of the stand tenant.
4. Stand personnel /Participants/Guests
The rental price includes the event participation fees for two persons including co-exhibitor. Participants and/or stand personnel must be registered using a separate registration form sent out with the stand confirmation. The stand personnel/participants must be named; the authorisations are non-transferable. Additional persons must pay the participation fees. Guests may be invited to the Congress using short-term tickets under certain conditions.
5. Stand demarcation and dimensions
The stand must not extend beyond the defined area. The organiser may demand the modification or removal of exhibition stands with non-approved designs or stands that do not comply with the exhibition conditions. If a stand has to be closed for these reasons, the exhibitor is not entitled to demand a refund of the stand rental.
5.1 Modular stand rental
If the exhibitor has booked a rental modular stand, the stand will be assembled by the trade fair assembly company contracted by the organiser. The stand assembly material including fascia (also with lettering) is the property of the trade fair assembly company. No adhesive substances, nails or staples may be used on the walls of the rented stand. The individual exhibitor will be billed for any damage or for the cost of any special cleaning that is required.
5.2 Own stand system
If an exhibitor brings his own stand system or commissions his own trade fair contractor to erect the stand, a drawing of the stand must be submitted to the organiser for approval as soon as possible and at the latest 6 weeks prior to the start of the event. The maximum overall height of the stand is 2.5 metres.
6. Cancellation
If, after making a firm registration, the exhibitor cancels his order before February, 2011, he will be invoiced for 20% of the stand rental to cover the organiser’s costs. Cancellations up to February 12, 2011 will be subject to a charge of 25% of the stand rental. Exhibitors submitting cancellations after this date will be billed for the full stand rental. Applications for cancellation must be made in writing. Cancellation is only effective if the organiser gives his consent in writing.
7. Payment deadlines and conditions
The payment deadlines specified in the invoice are binding. The precondition for occupation of the exhibition area is payment of the invoiced amounts four weeks before the start of the event. In the event of non-compliance with the conditions of payment, the organiser may make other arrangements for the confirmed stand.
8. Advertising
The exhibitor may only conduct advertising activities – in particular the distribution of brochures, leaflets and samples – within his allocated stand area. Posters, stickers or other advertising material attached without approval will be removed during the event and the party in question billed for the cost of this work. Loudspeaker advertising, slide or film presentations and show performances must be approved in writing by the organiser. The same applies to the use of other equipment and devices designed to achieve a higher advertising impact by visual means. Despite having given his approval, the organiser may restrict or prohibit advertising activities of this kind that cause disturbances, dirt, dust, exhaust gases or vibrations or that pose a risk to or impair the event for other reasons.
9. Assembly and dismantling
You will be notified in good time of the times scheduled for assembly and dismantling of the stands and you must adhere to these times. Stand assembly must be completed in good time before the event is opened. Traffic areas stipulated by the organiser must always be kept clear. The exhibitor undertakes to dispose of waste following assembly/dismantling of the stand. Any clearing work that should be necessary will be charged to the party responsible. No stand may be cleared in part or in whole before the end of the event. Exhibitors who violate this stipulation must pay a contract penalty (see 10. “Deposit”). The organiser further reserves the right to declare that such exhibitors are barred from the next event.
10. Deposit
The exhibitor must pay a deposit of € 1,000 per stand to be transferred at the same time as the invoice is settled. In the event of violation of these exhibition conditions, in particular nos. 5, 5.1, 6, 8 and 9, the organiser is entitled to retain the deposit in whole or in part or to use the corresponding part of the deposit to settle any contract penalty fines. The burden of proof is on the exhibitor. If there is no such violation, the deposit will be transferred back to the exhibitor within 14 days after the end of the event.
11. Electricity/Lighting, telephone connection, consumables
The stand is equipped with a power connection with a maximum load capacity of 2,000 watts (earthing contact socket outlet). The cost of general lighting will be borne by the organiser. Exhibitors who want telephone ISDN connections must order these direct via the internal Telekom branch. Other consumables are to be ordered using a form (enclosed with the stand confirmation). Orders can only be taken into account following timely registration. Billing of these connections and utilisation fees will be based on the terms and conditions of the contracted provider and will also be invoiced via this provider.
12. Liability
Liability claims vis-à-vis the organiser are excluded. Exhibitors are advised to take out their own insurance to cover their risks. Exhibitors themselves assume liability for all damage suffered by third parties at their stands or in the performance of their activities.
13. Official regulations
All corridors, aisles etc. in the exhibition area must be kept clear across their full width to comply with safety regulations. The stand construction must not extend beyond the limits of the stand area.
14. Exhibitor/Participant passes
The name badge distributed by the organiser to all exhibitors is to be worn for the duration of the event. The wearing of other name badges is not permitted. Visitors must wear the visitor badges provided by the organiser.
15. Distribution of food and beverages
The provision of food, beverages and other refreshments is subject to approval unless the services are provided by the stipulated on-site catering service.
16. Force majeure
If the organiser is prevented from staging the event due to special circumstances, the stand rental will no longer be payable. In the case of cancellation, the organiser will not bear any other costs of any kind. If it becomes necessary to shorten or prematurely terminate an event in progress, exhibitors will not be entitled to refunding or reduction of the stand rental. If the event has to be moved to another date for important reasons, the agreements made will remain valid.
17. Saving Clause
If one or more of the provisions in these conditions is or becomes invalid in whole in or in part, this will not affect the validity of the remaining provisions. In such an event, the invalid provision will be replaced by a statutory provision of the type of contract to which the invalid provision refers.
